Khanya CRM ("Khanya", "we", "us", "our") operates the platform at app.getkhanya.com and the marketing website at getkhanya.com.

1. What Are Cookies?

Cookies are small text files placed on your device (computer, phone, or tablet) when you visit a website. They are widely used to make websites work correctly, to remember your preferences, and to provide analytical information to site owners.

Cookies are not harmful and do not contain executable code or viruses. They cannot access other files on your device.

Similar technologies — including local storage, session storage, and pixels — work in comparable ways and are covered by this policy.

2. Which Sites This Policy Covers

This Cookie Policy applies to:

• getkhanya.com — Marketing website — information, early access sign-up, pricing

• app.getkhanya.com — The Khanya CRM application

3. Types of Cookies We Use

3.1 Strictly Necessary Cookies

These cookies are essential for the platform to function. Without them, you cannot log in, use the application, or maintain a session. They do not require your consent under applicable law.

• khanya_session — Maintains your authenticated session after login — Session (browser close)

• XSRF-TOKEN — Protects against cross-site request forgery (CSRF) attacks — Session

• remember_web_* — Keeps you logged in when you select "Remember me" — 30 days

3.2 Functional Cookies

These cookies remember your preferences and settings to provide a better experience. They are not strictly required but improve usability.

• theme — Remembers your light/dark mode preference — 1 year

• sidebar_collapsed — Remembers whether your sidebar is open or collapsed — 1 year

3.3 Analytics Cookies

We use lightweight, privacy-respecting analytics to understand how the platform is used — which pages are visited most, where users encounter errors, and where we can improve.

• Laravel Nightwatch — Application performance monitoring — Errors, slow requests, server-side performance (no personal tracking)

We do not use Google Analytics, Facebook Pixel, or any behavioural advertising trackers. We do not use analytics tools that build cross-site profiles of individual users.

3.4 Third-Party Cookies

Some features of the platform connect to third-party services that may set their own cookies:

• PayFast — Payment processing pages during checkout — payfast.co.za/privacy-policy

• Google Maps Platform — Lead Engine map embeds or API calls — policies.google.com/privacy

These cookies are governed by the respective third party's policies. We do not control them.

4. Cookies We Do Not Use

- Advertising or retargeting cookies (Facebook, Google Ads, LinkedIn, etc.)

- Cookies that track your behaviour across other websites

- Fingerprinting or device-tracking scripts

- Third-party social media tracking pixels

5. Legal Basis for Using Cookies

Under the Protection of Personal Information Act (POPIA) and the Electronic Communications and Transactions Act (ECT Act):

• Strictly necessary cookies are used on the basis of legitimate interest and are required for the service to function. No consent is required.

• Functional cookies are used on the basis of legitimate interest with a low privacy impact. You can disable these without affecting core functionality.

• Analytics cookies (where they process personal data) are used on the basis of legitimate interest. We minimise data collection and do not share it with third parties for commercial purposes.

Where we rely on consent, we collect it through our cookie consent banner on the marketing site. You may withdraw consent at any time (see Section 7).

6. Session vs Persistent Cookies

• Session cookie — Deleted when you close your browser

• Persistent cookie — Remains on your device until it expires or you delete it manually

All session cookies listed in this policy are automatically deleted when you close your browser.

7. How to Manage and Delete Cookies

7.1 Cookie Consent Banner

On your first visit to getkhanya.com, we display a cookie consent banner where you can accept or decline non-essential cookies. You can change your preferences at any time by clicking the "Cookie Preferences" link in the footer.

7.2 Browser Settings

You can control and delete cookies directly through your browser settings. Below are links to instructions for common browsers:

Note: Blocking strictly necessary cookies will prevent you from logging in or using the application properly.

7.3 Opt-Out of Analytics

Since our analytics (Laravel Nightwatch) are server-side and do not place tracking cookies on your device from a third-party analytics tool, there is no browser-level opt-out required. Server-side logs are retained for 90 days and are used only for operational purposes.

8. Local Storage and Session Storage

In addition to cookies, the Khanya application uses browser local storage and session storage to store user interface state (such as sidebar preferences and theme settings). This data:

- Is stored on your device only

- Is never transmitted to third parties

- Can be cleared by clearing your browser's site data

9. Do Not Track

Some browsers send a "Do Not Track" (DNT) signal. Because we do not engage in cross-site tracking or behavioural advertising, we treat all users consistently regardless of DNT signal status.

10. Changes to This Policy

We may update this Cookie Policy when we change the technologies we use. Material changes will be communicated via the cookie consent banner and by updating the "Last updated" date at the top of this document.
